Trustee Secretary

Secretary role and attributes;
The following roles and responsibilities outlined are relevant to the position of Secretary and are intended to ensure the efficient strategic management of Express Group Fife (EGF).
The Secretary:
- Does not have the right to exploit their position for personal gain
- Is a representative of and ambassador for EGF and must act accordingly to protect the integrity and reputation of EGF.
- Is responsible for supporting the Chairperson and Service Manager and/or appointed person ensuring EGF Board Meetings and its business is carried out effectively by assisting with administrative tasks where required
- Will ensure the Board is quorate at each Board Meeting (minimum 3 Board Members)
- Will accurately and succinctly record/minute decisions at Board Meetings and/or associated meetings and/or check these where this is undertaken by an appointed other where this might be required
- Is required to consult with and seek guidance/recommendations from the Service Manager and/or appointed person on the business of EGF
It should be noted the Minutes of Board Meetings are a legal record of the decisions made by the Board and must be checked by all present and approved at the subsequent meeting of the Board. The Secretary in conjunction with the Chairperson should ensure this is undertaken.
In addition to the aforementioned, the Secretary should also possess the following qualities:
- Be non-judgement, respectful & diplomatic
- Be fair & impartial
- Be able to process, detail & effectively record and/or understand information pertinent to the business of the organisation
The Secretary should have a knowledge and understanding of the Third Sector and an awareness of the local wider environment in which EGF operates.
